Service Administrator

Step into a dynamic role within our Maritime Cargo and Construction division in Erskine Park. This role focus on providing vital administrative support across a wide range of tasks supporting the service team in maintaining and enhancing their customer service.

You’re a proactive and highly organised coordinator who thrives in a fast‑paced operational environment. You bring strong attention to detail, excellent communication skills, and the confidence to manage competing priorities without losing momentum. You’re comfortable working independently, making informed decisions, and keeping workflows moving smoothly across a busy service department.

You take pride in supporting field teams to deliver safe, efficient and compliant services, and you understand the importance of clear scheduling, accurate documentation, and timely follow‑up. Your ability to stay calm under pressure, build strong working relationships, and anticipate what needs to happen next makes you a reliable go‑to person for both internal teams and external stakeholders.

You’re motivated, solutions‑focused, and committed to delivering high‑quality support that helps the Maritime Cargo and Construction division operate at its best.

 

Key Responsibilities

We are looking for a motivated and experienced Administrator - someone who brings initiative to the table and who knows how to keep things running smoothly. If you are someone who loves to work independently, managing competing priorities with confidence and who takes pride in delivering exceptional support, then this is your chance to shine in a supportive team that values initiative and reliability.

Key Responsibilities

  • Raise and process our customer service jobs and repair orders, including costing completed jobs
  • Support the scheduling of service jobs
  • Prepare and issue invoices for completed service work in a timely manner
  • Travel Coordination – organise our team members travel, and accommodation arrangements as required
  • Timesheet administration for payroll and reporting purposes
  • Process expense claims & manage purchasing activities and accounts payable workflow with precision to ensure compliance with our policies
  • Address customer inquiries in a professional manner to ensure timely and effective resolution
  • Maintain and update our databases, ensuring filing systems are organised, up to date and efficiently archived
  • Update and manage data bases, filing and archiving

 

 

 

Competencies

Desirable

  • Certificate III Mobile Plant Technology or similar

  • Plans and schedules work to be undertaken by the team 

  • Customer service skills including managing difficult customers

  • Determining customer needs and establishing product/service forecasts

  • Intermediate computer skills

  • Change management

  • Planning and allocating resources

  • Risk Management - identification and mitigation
