The Warranty Administration Supervisor will work out of the office in Newport News VA, providing warranty support to our Customers and the Factory. This position will be responsible for the day-to-day supervision and administration of warranty for Liebherr USA, Co. – Mobile & Crawler Cranes Division products. This includes supervision of personnel involved in the administration of warranty claims and the return of parts from customers.

Responsibilities

  • Monitor, process and file warranty paperwork generated in Parts department. 
  • Oversee and process all supplier and customer claims with LWE and track credit notes for parts.
  • Assist Customers with inquiries regarding parts transactions and credits.
  • Call customers and arrange pickup of warranty parts that need to be returned.
  • Check in all warranty return parts and attach paperwork to process.
  • Upon receipt of new or core parts, contact customer and verify reason for return and ensure proper paperwork is completed.
  • Oversees and process credit notes for new parts being returned.
  • Oversees and follows up with customer on credit notes for core returns.
  • Oversees correspondence with LWE concerning warranty/core returns.
  • Oversees and processes credits in BaaN, and file copies of credit memos as required.
  • Accept all credit notes or denial letters from LWE in LISA and process any credit due to customers.
  • Oversees and submits correspondence to customers regarding transactions via fax, email or mail.
  • Organize and file all warranty parts orders and correspondence. 
  • Remains updated on all warranty needs of LWE through periodic meetings and trainings.
  • Creates and implements Standard Operating Procedures for returning, claiming, requesting parts warranty, core credits and new returns to streamline processes.
  • Creates and implements database tracking system for open claims and common warranty issues.
  • Investigates and implements online warranty request system for use with customers.

Competencies

  • Associates or Technical degree with 5 years of related experience or a combination of education and experience equivalent to 7 or more years.
  • Directly manages the Warranty Administrator and Warranty Parts Inspector. 
  • Responsible for the overall direction, coordination and evaluation of Warranty team.
  • Carries out supervisory responsibilities in accordance with the organization’s policies and applicable laws. 
  • Responsibilities include interviewing, hiring and training employees; planning, assigning and directing work, appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.
  • Strong written and verbal communication skills. Ability to interface with all levels of staff.
  • Ability to work independently and as part of a team. Demonstrated initiative to visualize, organize, manage and complete projects in individual and group settings.
  • Demonstrated ability to handle confidential information.
  • Knowledge of software and systems related to parts and operations activities; project management software; BaaN or similar ERP software; spreadsheet software; and word processing software.
  • Strong attention to detail, including accuracy with numbers.
  • Ability to prioritize and juggle multiple tasks.
  • While performing the duties of this Job, the employee is frequently required to stand, walk, sit and perform keyboard use/repetitive hand motion. The employee is occasionally required to reach with hands and arms and balance, stoop, kneel, crouch, or crawl and climb; push and pull up to 50 pounds. The employee must frequently lift and/or carry up to 50 pounds.
  • Travel domestically and internationally up to 15% of the time.
  • Ability to obtain and maintain a valid driver license and passport.
