Provide administrative support by handling information requests and performing functions such as preparing correspondence, receiving visitors, and scheduling meetings, answering the main phone.

Responsibilities

  • Answer inquiries and obtain information for customers, visitors, and other interested parties. Provide information regarding activities conducted at the establishment, location of departments, offices, and employees within organization.
  • File correspondence, invoices, and other records. Locate and remove material from file when requested. 
  • Handling MCC invoicing and customer credits as well as any interdepartmental invoice requests.
  • Keep records of customer interactions and transactions, recording details of inquiries, complaints, and comments as well as actions taken.
  • Prepare and deliver incoming invoices for Managers approval.
  • Ensure and execute end of the month closing.
  • Track open Sales/Purchase orders daily via reporting and distribute to SPA’s.
  • Handle integration errors and communicate with Accounting when needed.

Competencies

  • Education and Experience: High school graduate or GED.
  • Must be fluent with the English language.
  • Demonstrated initiative to visualize, organize, manage, and complete projects in individual and group settings.
  • Ability to interface with all levels of staff.
  • Demonstrated ability to handle confidential information.
  • Proficiency in PC based word processing and spreadsheets.
  • Ability to multi-task while completing work in a competent and professional manner.
