Rental Equipment Coordinator
Supports the planning of rental equipment inventory, availability of machines, pricing and purchasing strategies, and oversees rental contracts and other related documents to ensure optimum customer service.
Responsibilities
Sales Support:
- Supervises the answering of inquiries and provides information obtained to and from customers, sales representatives, accounting department, factory and others.
- Supports the maintenance of offers in Rental Offers as per sales staff’s requests.
- Oversees the submission of UCC filing request to NCS for all arriving machines and upcoming rentals.
- Facilitates the invoicing of rental machines, security deposits, sale of rental machines, monthly rentals, and as well as the preparation and delivery of invoices for Management approval.
- Oversees the keeping of records of customer interactions and transactions, recording details of inquiries, complaints and comments as well as actions taken.
- Assist with rental machine-related requests, including but not limited to preparing offers, requesting trucking quotes, invoicing security deposits as well as monthly rental invoices and keeping track of rental fleets’ physical locations by using Lidat.
- Inform sales department about arrival of machines, forward shipping papers to customs broker.
Rental Equipment:
- Responsible for the development and implementation of tracking systems and procedures for rental machines.
- Supports management in for maintaining acceptable availability of rental machines and other associated items.
- Responsible for monthly reporting on rental fleet utilization, location, and availability.
- Works with management and FE Sales organization on development of strategies to plan appropriate rental equipment inventory levels.
- Maintains unified pricing strategies and lists for the purchase and rental of machines.
- Maintains monthly buyout pricing for rental machines and equipment.
- Coordinate and implement SAM3 rental module in marketing and sales software.
- Oversee rental contracts and other documentation related to the rental equipment and improve as necessary.
- Investigate options for pricing every piece of equipment, such as Kelly Bars with tags for pricing separate from the overall machine pricing.
- Create a management system for Kelly bars and other exchangeable items such as rotary drives, hammers, tools etc. to clearly identify them.
- Investigate options for distributing separate parts such as Kelly Bars between rental machines.
- Act as main contact point (middle man) between sales and customer service – ensure that all the required documents are completed (rental information sheet for customer service)
- Ensures all the required rental documentation is handed over to the accounting and finance department in a complete and timely manner.
Competencies
- Education and Experience: High School diploma or the equivalent, and at least 10 years of comparable experience, or combination of education and experience in a similar role.
- Strong demonstrated management and leadership skills
- Good, strong communication and negotiating skills- verbal and written, with good phone skills
- Demonstrates initiative to visualize, organize, manage, and complete projects in individual and group settings.
- Demonstrates strong organizational skills, initiative to visualize, manage, organize and complete projects in individual and group settings.
- Ability to interface with all levels of staff.
- Demonstrates ability to handle confidential information.
- Proficiency in PC based word processing and spreadsheets. Proficiency with MS Office.
- Ability to multi-task while completing work in a competent and professional manner.
- Fluent in English, both spoken and written, with any additional spoken and written language skills considered as an advantage.
- Ability to obtain and maintain a valid driver license.
- Ability to travel up to 20%.
